Privacy Policy for Supporters of North Devon Hospice

This statement sets out how North Devon Hospice will use the personal information relating to its supporters as well as prospective supporters.

We may make changes to this statement from time to time to reflect developments in the law or in the provision of our services.

What personal information is collected and what it is used for

Data such as contact details, date of birth, giving history and details (including payment information and reasons for supporting and event participation), will be held by North Devon Hospice and used for the following reasons:

  • to administer and manage your event booking(s)
  • to maintain details of any gifts
  • to keep you informed of news and events that you may be interested in
  • to enhance and improve the way that we communicate with you
  • to maintain Gift Aid records including the sale of any Gift Aid eligible donated items
  • to administer your North Devon Hospice Lottery membership
  • to record any gifts of time or activity related to volunteering for North Devon Hospice
  • to fulfil our regulatory functions with regard to Health & Safety and Risk Management at events

Some of this information is provided by you when you make enquiries with us or with your application for an event and when you make a donation to us. Other information may be obtained during the course of your relationship with us to enable us to carry out the purposes set out above; this may include information such as your employer and details of your friends or relatives.  We will only record and store information that you have made available to us and we will not source information from third-party companies.

We may also use your information for supporter profiling and marketing purposes unless you have asked us not to.  This marketing may be by mail, telephone, SMS or email. If you are receiving unwanted marketing, please contact the Fundraising team on fundraising@northdevonhospice.org.uk or 01271 347224.  Alternatively you can also write to Fundraising Team, North Devon Hospice, Deer Park, Barnstaple, Devon, EX32 0HU. You may withdraw consent for the hospice to process your data at any time.

Sensitive Information

Some of the information we ask you for or which you provide may be sensitive personal data, such as information about medical conditions for the purpose of ensuring a safe environment at our events. We will not use such sensitive personal data except for the purposes of processing your event registration and, in the case of information about medical conditions, for the purpose of making any reasonable adjustments where possible to enhance your participation at our events.

Disclosure of information to third parties

We will never sell your personal data to third parties and we do not disclose your information to any third parties or bodies with which we are not associated unless we have your permission to do so or are required to do so by law with the exception of using direct mail fulfilment providers for the purpose of communicating with you and only mailing information is disclosed. 

It is a legal requirement that we disclose details of all gifts eligible for the Gift Aid scheme to the HMRC.

Obtaining the information we hold about you

You have a right to request access to the information we hold about you and the right to request reasonable corrections and deletion of any inaccuracies. Under the General Data Protection Regulations, North Devon Hospice is required to respond to your request within one month. If you would like a copy of the information we hold about you, please write to Mrs S Husband (The Data Processor), North Devon Hospice, Deer Park, Barnstaple, Devon, EX32 0HU. 

North Devon Hospice will not charge you for responding to your request however we will ask you to provide sufficient evidence to demonstrate that you are the data subject or the data subject’s legal representative.

This statement sets out how North Devon Hospice will use personal information relating to its patients and clients as well as prospective patients and clients.

We may make changes to this statement from time to time to reflect developments in the law or in the provision of our services.

What personal information is collected and what it is used for

Data such as contact details, date of birth, next of kin, medical history and current medical status will be held by North Devon Hospice and used to deliver the services and care as deemed appropriate by you and your advocates.

Some of this information is provided by you and your medical team including for example your General Practitioner when a referral has been made to us. Other information will be obtained during the course of your relationship with us, such as previous medical history, test results and ongoing treatments and plans.  We may also collect and store details of any of your family members that become known to us during your care.

Your information will only be used in order to provide the most appropriate care for you and from time to time we may write to you to share information about services that North Devon Hospice feel may be of benefit to you.

If you are or have been a supporter of the hospice you may be contacted by our Fundraising team about news and fundraising opportunities however we will never disclose to our Fundraising or Marketing teams any information regarding your care.

Other agencies will be communicated with about your care only and consent is implicit with regard to these agencies.These agencies will be limited to Registered Medical Practitioners.

Obtaining the information we hold about you

Under the General Data Protection Regulations, our patients have a legal right to apply for access to health information or other personal data that is held about them at North Devon Hospice.
If you or your legal representative requests access to health records or personal data held by North Devon Hospice, you must do so in writing, using our request form and send it to Jo Dedes, Director of Care, North Devon Hospice, Deer Park, Barnstaple EX32 0HU. 

General Data Protection Regulations, requests for access to records should be met within one month. However, as per our policy, we aim to respond within 21 days when the record has been added to within the previous month. North Devon Hospice will not charge you for responding to your request however we will ask you to provide sufficient evidence to demonstrate that you are the data subject or the data subject’s legal representative.

Introduction

We have created this statement to demonstrate our firm commitment to your privacy. We do not collect personally identifying information about you when you visit our site, unless you choose to provide such information to us. Providing such information is strictly voluntary. This policy is your guide to how we will handle information we learn about you from your visit to our Web site.

Sending us an Email

You may decide to send us personally identifying information, for example, in an electronic mail message containing a question or comment, or by filling out a Web form that provides us this information. We use personally identifying information from email primarily to respond to your requests. We may forward your email to other employees who are better able to answer you questions. We may also use your email to contact you in the future about our programmes that may be of interest.

We want to be very clear: We will not obtain personally identifying information about you when you visit our site, unless you choose to provide such information to us. Providing such information is strictly voluntary. Except as might be required by law, we do not share any information we receive with any outside parties.

If you sign up for one of our email lists, we will only send you the kinds of information you have requested. We won't share your name or email address with any outside parties.

Telephone

We will not make marketing calls to you if you are registered with the Telephone Preference Service (TPS) unless you have given us consent that you are happy to receive calls from us.

You may still receive other types of telephone calls from us as long as they are not marketing calls such as checking your direct debit mandate for example. We do outsource some of the telephone calling we carry out but we will only ever use carefully selected organisations with operate in a sympathetic manner to the Trust.

If you contact us by telephone, your telephone call may be recorded or monitored for the purpose of quality control and for staff training. Any recordings will be held for two years and will then be deleted

Opt-Out or Change Your Contact Information

To opt-out of receiving communications from us, or to choose to receive only specific communications, or update your contact information previously provided to us please email fundraising@northdevonhospice.org.uk. You can not remove yourself from our database, but you can prevent unwanted communication.
